1. Getting General Knowledge on the User Manual Template. Before actually using the User Manual Template and the other tools that I developed for Philip, I wanted to make sure we have the same starting point.
2. Identify the User(s) of Your User Manual Template. Ok, so now Philip has some basic knowledge about user manuals. Let’s dive into the details and actions.
3. Creating Topics for Your User’s Problems. Start with identifying the problems that your user(s) might encounter during the lifecycle of the product and that s/he wants to solve.
4. Define the Structure of the User Manual Template. Philip has now identified the problems a user might have with his product during its lifecycle and he has now thought of the solution to solve the problem.
5. Create Meaningful Headings. Each topic in the user manual gets its own heading. The headings are the (sub-)titles that precede the actual text. They appear in the ToC, so the user can navigate to the needed information.
6. Determine the Legal Content. Dependent on the market where your product is placed in or put into service, and dependent on the product group your product belongs to, specific legislation applies to your product.
7. Download and Prepare the User Manual Template. Now Philip can start the actual creation of his user manual. I asked him to adjust the table of contents of the template according to his own table of contents.
8. Create the Content for Your User Manual Template. Write the Intended Use. The purpose of your product, or better: the intended use, is the heart of a user manual and forms the basis of ensuring the safe and healthy use of the product.
9. Add Navigation to Your User Manual Template. A user manual should give assistance to people by providing information about how to use a product. Finding the right information that solves the user’s problem should take as little time as possible.
10. Have Your User Manual Reviewed. Philip has now created the draft version of his user manual, using the user manual template. We call this version the textual content design.

How to Write a Great User Manual in 12 Steps

5 hours ago Dozuki.com Show details

1. Define Your Audience. Know your reader—what is their experience level? where are they reading the manual?— and optimize your instructions to match their expertise.
2. Describe the Problem. Explain the problem you want to solve, present the solution, and then outline the instructions in order to attain the solution. It may sound obvious, but these are the three basic building blocks to any good user manual.
3. Break it Down. If the problem addressed in the manual is particularly complex, break it down into smaller parts. List each section with specific instructions.
4. Be Descriptive. Vague words like "thing," "part," and "stuff" lead to ambiguous instruction. If you don't know what something is called, do your best to identify it by looking online or asking someone.
5. Stick to the Topic at Hand. As much as people love anecdotes of your great-grandma putting ice cream in her purse, there's an appropriate setting for such stories.
6. Take Awesome Photos (or Better Yet, Videos) Photos are the number one thing that draw people to your instructions. Taking quality photos doesn’t demand expensive equipment—you can use your smartphone or a simple point and shoot camera.
7. Don't Use Passive Voice. Be direct in your instructions—do not fall into the "It is" trap. Instead, use verbs to convey exactly what you're trying to say.
8. Avoid Using the First Person. There's no "I" in team, and there shouldn't be any in your writing. You have a more authoritative tone of voice by not using statements such as "I did this" in your instructions.
9. Use a Template. Standardizing instructions helps improve user comprehension and clarity. Things like consistent bullet-point styles, image sizes, and text orientation can help make browsing and following along easier for your readers.
10. Minimize Background Info. A little background info is great: why you're doing this, who stands to benefit from the guide, what people need to do to prepare, etc.

1. Do an audience analysis. The user manual should be written for the audience -- those who will be purchasing your product or service and reading the user manual. An audience analysis will tell you who your main or target audience will be and will guide your writing. Talk to people who will use your device. Offer test users prototypes of the device and a draft of the user manual under controlled conditions. Solicit these test users’ feedback about things that are not obvious or confusing in the user directions and incorporate changes into your user manual based on this feedback. You can never please your entire audience; write the manual to suit the target or largest audience. Think about the audience’s age, health (do they have illnesses, learning impairments, or disabilities?), and educational level to determine the best approach to writing the user guide.
2. Coordinate the design of the user manual. If you were part of the team that helped design and develop the device or product, it might be hard to look at the product objectively in order to explain its operation. You might, therefore, want to solicit the advice of a writer (preferably one with experience in writing instructions) and graphic designer in order to help you draft the user manual. You could choose these individuals from an outside consultancy or from your own company or organization.
3. Do a task analysis. A task analysis is the process of identifying and organizing the steps needed to use the device. A thorough task analysis will identify the materials and equipment (such as batteries, medications, or other user-provided products) needed for each step, as well as the actions, errors, and troubleshooting advice that each step might require. If you have a product that can perform many different tasks or sub-tasks, you will need to perform a task analysis on each task. For instance, in a car, you can honk the horn, strap yourself in, and turn your headlights on or off. Create a task analysis for each of these as needed.
4. Ensure your product complies with labeling and marketing clearance requirements. These requirements ensure that products are produced with user safety in mind, and will limit user exposure to dangerous conditions such as radiation and electrocution. Advertisements must demonstrate clearly what the purpose and basic operational guidelines of a product are, and you should use these sources when writing your user manual. For the user manual of a product to be effective, it needs to be written in concert with labels affixed directly to the product. Ensure your device is legally licensed for sale before writing instruction manual.

With this learning process comes the understanding of the target audience. For whom you are creating a user manual is the key moment, so let's take a closer look. You should not just know your audience, you must be able to adapt documentation. Although the basic principles of technical documentation remain the same - you need to explain your subject in the most concise, neutral and structured manner - different groups of readers require a different approach. So, you’ll have to figure out the level of knowledge of your target audience on the subject in question. 10 Golden Rules to help you create a great user manual Dokit

2 hours ago Dokit.io Show details

1. Master your subject. When writing a user manual or instruction manual it’s important that you master the subject. To refresh your memory we suggest: Execute the procedure you are writing about.
2. Adapt to the audience. Who is your audience? Who are you writing this for? An expert welder will understand the terminology about the new torch you are selling, but if you are selling that new torch to hardware stores, the average person off the streets may not have a clue what certain terminology mean.
3. Choose a style. When choosing a writing style for a manual remember to use the same tone throughout the manual. Also remember what the mood of the audience will be at the time they are reading the manual.
4. Be concise and precise. Since technical manuals are read to inform the reader, the writing must be concise and precise. Your reader will quickly be looking for answers to a problem, to use the manual for safety or to start up procedures.
5. Structure your manuals. The structure of your manual is just as important as the concepts that your manual expresses. Ideas and instructions must be easy to find, and easy to execute.
6. Illustrate with photos. Nowadays, it’s easier than ever to take high quality photos. Readers need to see actions as well as read about them. Here are some tips for using photos in your manual
7. Use other visuals. It is also helpful to use other types of visuals such as illustrations, but remember: Don’t use complex illustrations. Use universal pictograms to prevent and inform (ISO/ ANSI)
8. Use videos when needed. If your words, photos, and illustrations still are not enough use videos. Capture simple actions. Clips need to last only a few seconds.
9. Distribute your manuals. Now that your manual is properly written it is time to distribute it to your clients. The best ways to distribute manuals are
10. Update the content. From time to time your team may need to update the content of the manuals, this is fine and will show your clients that you are constantly improving your products and services.
